Planning a Family Reunion in the Triangle
The Triangle is actually a great spot for a family reunion. Central location on the East Coast, affordable compared to bigger cities, plenty to do, and good weather for most of the year. If you're the one who got volunteered to plan it (I've been there), here's your guide.
Choosing a Venue
Parks and Shelters
The most affordable and flexible option for large groups:
Raleigh parks with reservable shelters: Lake Johnson (waterfront!), Pullen Park, Lake Wheeler Park, and Shelley Lake all have picnic shelters for rent. Wake County parks can be reserved online.
Durham parks: West Point on the Eno is beautiful and has large shelter areas. Duke Park and Northgate Park are also options.
Jordan Lake recreation areas have large group shelters with lake access. Perfect for a reunion that includes swimming and boating.
Falls Lake offers similar amenities on the north side of the Triangle.Costs: Park shelter rentals typically range from $25-100 depending on size and location. Book well in advance β popular shelters book up months ahead, especially for Saturday dates.
Indoor Venues
For climate-controlled comfort (smart for a NC summer):
Community centers in Raleigh, Durham, and Cary rent event spaces at reasonable rates
Church fellowship halls β if a family member has a church connection, these are often affordable and well-equipped
Hotel conference rooms β useful if out-of-town family needs lodging anyway
Bowling alleys and entertainment centers rent party areas for groupsUnique Venues
Local farms sometimes rent space for private events
Winery or brewery event spaces β Chatham Hill Winery, Ponysaurus, or Bond Brothers for a more adult-oriented reunion
State Farmers Market area β open-air atmosphere with food options nearbyCatering and Food
BBQ (The Easy Choice)
For a classic NC family reunion, you can't go wrong with BBQ catering:
The Pit in Raleigh does catering
Picnic in Durham
Sam Jones BBQ in Raleigh
Local BBQ joints will often cater for large groups at a per-person ratePotluck Plus
The most family-reunion-appropriate option: organize a potluck with a catered main dish. Assign categories (sides, desserts, drinks) to different family branches. Provide plates, cups, utensils, and a main protein.
Food Trucks
Hire a food truck or two to park at your venue. Everyone orders what they want, variety is built in, and there's no leftover management. Many Triangle food trucks will do private events.
Activities for All Ages
For Little Kids (0-5)
Bubbles, sidewalk chalk, and balls β sometimes simple is best
Set up a small inflatable (rentable from local party suppliers)
Face painting station (hire a local artist or DIY with a kit)For Bigger Kids (6-12)
Organized games: relay races, sack races, three-legged races, water balloon toss
Scavenger hunt around the venue
Kickball or wiffle ball gameFor Teens
Cornhole and lawn games
Music/DJ area
Give them their own hangout space (they'll find each other)For Adults
Cornhole tournament (Triangle families take this seriously)
Family trivia game (who knows the most family history?)
Photo station with props
Comfortable seating in the shade with beveragesFor Everyone
Group photo β hire a photographer or designate someone with a good camera. Do the big group shot first before people start leaving.
Family tree display β bring a visual family tree and add photos
Memory table β display photos of family members who've passed
Time capsule β everyone contributes something, seal it to open at the next reunionLogistics
Lodging for Out-of-Towners
Book a block of rooms at a nearby hotel. Many hotels offer group rates for 10+ rooms.
Airbnb or VRBO large houses can be great for family clusters
RDU airport is centrally located and easy for flying-in familyCommunication
Create a group text or Facebook group for reunion communications
Use a shared Google Doc for potluck sign-ups, activity ideas, and contact info
Send save-the-dates 4-6 months out, detailed info 6-8 weeks outBudget
For a 50-person reunion at a park with catered BBQ:
Park shelter: $50-100
BBQ catering: $12-18/person ($600-900)
Supplies, decorations, games: $100-200
Total: roughly $15-25/person if split among familiesTriangle Activities for Visiting Family
Give out-of-town family a list of things to do while they're here:
NC Museum of Natural Sciences (free)
Duke University Chapel and campus walk
Downtown Durham food tour
NC Museum of Art park trail
Shopping at Southpoint or local boutiques
Durham Bulls game if timing worksTimeline for Planning
6 months out: Pick a date, choose a venue, create communication channel
4 months out: Send save-the-dates, start planning menu and activities
2 months out: Confirm headcount, finalize catering, assign potluck categories
2 weeks out: Send final details (directions, parking, schedule, what to bring)
Day of: Arrive early, set up, delegate tasks, and try to actually enjoy itThe most important thing about a family reunion isn't the venue or the food β it's getting everyone in the same place. Don't let perfect be the enemy of good. A simple gathering in a park with good BBQ and a cornhole tournament is more memorable than an overproduced event where the planner is too stressed to enjoy anything.
